Proposing a Regional Gathering

Regional in-person and hybrid gatherings complement REA’s online meetings. The Board is eager to provide funding in support of such events and encourages REA members to submit proposals via this online form, using the guidelines below. Proposals received by November 1st for events in the next calendar year (e.g., Nov 1, 2026 for events in 2027) are more likely to receive funding before available monies are exhausted for the budget year.

Regional Gathering Proposal Guidelines

A complete proposal will include the following basic elements:

  • A list of 7-10 members willing to serve as the organizing committee for the event, with one or two of those people designated as the event host(s).
  • A location accessible to the organizing committee members, who either reside in the area or are prepared to attend the event even if travel requires them to fly, take a train, or drive.
  • Dates for the event and a draft program agenda describing event activities.
  • An itemized event budget listing anticipated expenses, such as space rental fees, food costs, field trip admissions, etc. (Note: REA funds cannot be used to purchase alcoholic beverages. Please do not include them in your event budget. If you would like to serve libations, consider having a cash bar, BYOB, or seeking other donations to cover them.)
  • A list of accessible, affordable lodging options if the organizers anticipate that participants will need overnight accommodations.
  • A draft flyer or information sheet about the regional gathering.
  • A commitment to document the event by creating a brief post-event report of who was present and what took place. (Note: If you intend to take photos or video record the event, please indicate how you will obtain consent from participants.) 
  • An explanation of how the event upholds our JEDI commitments and will implement communal practices consistent with our Code of Ethics and Code of Conduct. 
  • A request for up to $1,000 from the REA budget to support the event.
